We coordinate deliveries from overseas suppliers to Ukrainian sites and from Ukrainian manufacturers to customers abroad. An international project needs factory readiness, access through several countries, border procedures and site acceptance to work together. For machine tools and production line transport, this can also mean scheduling separate components to arrive in the order needed for installation. Selecting the route and border crossing

International route feasibility is assessed for the loaded vehicle combination, from the dispatch address to the unloading location. A shorter route may be unsuitable because of bridge restrictions, roadworks, narrow approaches or the conditions governing a loaded vehicle combination. The border crossing is selected as part of the route: its suitability must be checked against the actual vehicle and load configuration.

For freight deliveries from Germany to Ukraine, the collection location, transit countries and delivery address all matter. Where a journey involves freight transport through or from Poland, we coordinate the Polish section with the next stage in Ukraine. Other European routes receive the same individual assessment; the plan for a previous shipment is not automatically suitable for a new booking.

Preparing consistent information for national approvals

Before confirming the movement, we establish the cargo’s shipping dimensions after packing, the weight of each piece, projecting components, permitted orientation and whether any parts can be removed. These details guide vehicle selection, including low-loader transport where its configuration suits the shipment. Every participant needs consistent information about both the cargo and the selected vehicle combination.

Permit and escort requirements are checked for each country on the route. The basis for approval, permitted travel periods, escort arrangements and access restrictions depend on local rules and the individual movement. Having documentation for one section does not establish that the entire international journey is ready to proceed.

Changes must be reported promptly after documents have been prepared. A different trailer, additional packaging, a revised weight or a new address can affect the agreed plan. Before departure, we check that the information remains current and identify any necessary amendments. Vehicle arrival is coordinated with the readiness of the relevant procedures.

Escort vehicles and convoy coordination across borders

Escort arrangements depend on the shipment and the requirements of the countries involved. Pilot vehicles and police escorts have different roles and conditions of involvement. Police assistance is not required for every international oversized movement; the applicable arrangement is checked against current requirements and the approved travel conditions.

Where escorts are required, we coordinate providers for the relevant sections, meeting points, start times and communication with the driver. If providers change between countries or regions, their activities must be aligned so that the vehicle can continue under the agreed conditions.

The quotation identifies which escort services are included and how waiting, rescheduling or repeat attendance will be agreed. A road movement permit alone does not establish that every required escort service is available on the preferred date.

Customs documentation and road movement approvals

Customs clearance and road movement approvals serve separate purposes. A consignment may have its commercial paperwork ready while still requiring approval to travel along a particular section. Equally, the vehicle and route may be ready while information needed for customs processing is still outstanding.

For an import or export shipment, we agree the clearance location, customs representative and document requirements in advance. Depending on the transaction, these may include a commercial invoice, packing list, technical description, CMR consignment note and documents for the applicable customs procedure. Arrangements for customs clearance in EU countries and customs clearance in Ukraine are included within the agreed scope of the order.

For multiple vehicles, we check descriptions and weights against the load on each one. Tasks are allocated with reference to the agreed Incoterms rule and named place.

Coordinating the journey from collection to site acceptance

We plan an international movement around defined events: cargo readiness, road approvals, vehicle arrival, dispatch, border crossing and arrival at the receiving site. Departure must fit the permitted travel conditions and the readiness of the next stage.

A border delay can affect the remaining delivery schedule. If waiting causes the shipment to miss an escort appointment or unloading slot, we agree a revised sequence with the consignee and the contractors involved. Reporting arrangements, approval of additional expenditure and the response to route changes are established before transport begins.

International transport cost and lead time

An oversized freight quotation covers the complete international route. It considers suitable vehicle positioning, distance, transit countries, necessary permits, escorts and agreed additional operations. Waiting charges, repeat vehicle attendance and changes to shipment details after booking are addressed separately.

Preparation time and travel time are assessed separately. The schedule depends on permits and documents being ready, travel restrictions, border procedures and site availability. We refine the provisional delivery date after reviewing these dependencies. A rate per kilometre or the duration of another project alone is insufficient to quote a new consignment.

Responsibilities and international delivery experience

The contract and transport order record the route, cargo specifications, service scope, payment and responsibility for documents, handling and acceptance. External contractors’ duties are identified separately. The customer agrees accurate shipment details with the shipper, while the consignee provides the agreed receiving conditions.

We review cargo insurance options against the cargo value, route, transloading and other declared operations. Insured risks, deductibles and territorial cover are checked against the insurer’s specific offer. Shipment control includes agreed communication arrangements and documentary confirmation of delivery.
